CleanPilot is operated by Jaylen Mastroianni (trading as CleanPilot), who is the data controller for the personal information described in this notice. You can contact us at any time via hello@gocleanpilot.com.

We collect the following categories of personal information:

• Account details — your name, email address and password (stored encrypted)
• Business details — business name, industry and the details you configure
• Support messages — messages you send us through contact forms or email
• Usage data — how you use the platform, device identifiers and IP address
• Customer records — the enquiries, quotes and customer details you manage in CleanPilot on behalf of your business

We use this information to create and manage your account (performance of a contract), provide and improve the service (legitimate interests), respond to support requests (performance of a contract), keep the platform secure and prevent fraud (legitimate interests), meet legal obligations (legal obligation), and, where you have agreed, send product updates (consent). We do not sell personal information.

We share personal information with the following categories of recipients, only as needed to operate the service:

• Service providers and sub-processors — hosting, database, email delivery and analytics providers
• Paddle — our Merchant of Record, for the sale of the product, subscription management, payments, tax compliance and invoicing
• Professional advisers — legal and accounting advisers where required
• Authorities — where we are required by law

We keep personal information for as long as your account is active and as needed to meet legal, tax and accounting obligations. When information is no longer needed, it is deleted or anonymised. Customer conversation data handled on behalf of your business belongs to your business — you can request an export or deletion at any time.

Depending on your location, you may have the right to access, correct or delete your personal information, restrict or object to processing, request a copy of your data, withdraw consent, and lodge a complaint with your local privacy regulator (in Australia, the Office of the Australian Information Commissioner). We use appropriate technical and organisational measures to protect personal information, including encryption in transit, access controls and restricted access to production data. API credentials are never exposed in client-side code.

We use essential cookies to keep you signed in and run the site. We do not use marketing cookies. You can manage cookies through your browser settings.

Some of our service providers process data outside Australia. Where this happens, we rely on appropriate safeguards such as standard contractual clauses to protect your information.
